Online appointment booking with Outlook Calendar (Microsoft 365)

A public booking form: it checks your Outlook calendar, creates the event with the customer as a guest and confirms by email from your account.

Everything is created inactive in a new folder of your account. Nothing runs until you activate it, and you can undo it for 24 hours.

    What it does

Your booking page on Microsoft 365, with no extra subscription. The customer opens the form, picks a day and time and fills in their details. The workflow validates the request (working days, minimum notice), checks your Outlook calendar for that day and:

    • If the slot is free: it creates the event (with the customer as a guest, so Outlook sends them the invitation), emails a confirmation with a booking code from your Outlook account and replies with the confirmation.
    • If it is taken: it says so on screen so the customer can choose another time.

What is included: 1 form and 1 workflow.

What you need: a connected Microsoft 365 account (OAuth) with access to the calendar and mail.

Limitations: the schedule (time zone, length, offered hours, days and notice) is edited in the Preparar reserva script; the form Hora options must match it. The availability check reads that day's events (up to 100) and does not expand recurring meetings, so a recurring series may not block its slot. Alternative slots are not suggested and cancellations are not handled. It has not been tested against real Microsoft accounts.

    How to set it up

    1. 1

      Connect the microsoft credential

This template uses microsoft in: Eventos del día, Crear evento, Confirmar al cliente. Create or pick the credential and assign it in those nodes.

    2. 2

Copy the webhook URL (Recibir reserva)

A new URL is generated on install. Paste it into the external system that must call this workflow.

    3. 3

Publish and test the form "Reserva de cita"

Open it, publish it and submit a test entry to check the workflow starts.

    4. 4

      Set your schedule

In the Preparar reserva node edit the "AJUSTA AQUÍ TU HORARIO" block: time zone (ZONA), length (DURACION_MIN), offered hours (HORAS), days (DIAS), minimum notice (ANTELACION_H), video-call link or address (LUGAR) and business name.

    5. 5

      Connect Microsoft 365

Connect your Microsoft account in the Eventos del día, Crear evento and Confirmar al cliente nodes. Your primary calendar is used by default.

    6. 6

      Test a booking

Open the Reserva de cita form, book a future working day and check that the event shows up in Outlook and the email arrives. Repeat the same time: it should tell you it is taken.

    7. 7

      Activate the workflow

Workflows are installed inactive. Once everything is set, activate it.
