Online appointment booking with Google Calendar (Calendly-style)

A public form for your customers to book an appointment: it checks your Google Calendar, creates the event, confirms by email and, if the slot is taken, suggests the free slots of that day.

Everything is created inactive in a new folder of your account. Nothing runs until you activate it, and you can undo it for 24 hours.

    What it does

Your own booking page without paying a subscription. The customer opens the booking form, picks a day and time and fills in their details. The workflow checks that the day and time are valid (working days, minimum notice), looks at your Google Calendar and:

    • If the slot is free: it creates the event in your calendar (with the customer as a guest), saves the booking in the citas Data Store with a booking code, sends a confirmation email to the customer and an alert to the professional.
    • If it is taken: it says so on screen and by email, and suggests the slots that are still free that same day.

What is included: 1 form, 1 workflow and the citas data group (also used by the reminders, cancel/reschedule and approval templates).

What you need: a connected Google account (Calendar) and an SMTP account for the emails.

Limitations: the form does not show a visual picker of free slots: the customer chooses the time from a list and, if it is taken, is told so and offered alternatives. A different Google Meet link is not generated per appointment either: use a fixed video-call link (your own Meet/Zoom) or an address in the LUGAR field. All-day events block the whole day.

    How to set it up

    1. 1

      Connect the google credential

This template uses google in: Comprobar disponibilidad, Eventos del día, Crear evento. Create or pick the credential and assign it in those nodes.

    2. 2

      Connect the smtp credential

This template uses smtp in: Proponer otros huecos, Confirmar al cliente, Avisar al profesional. Create or pick the credential and assign it in those nodes.

    3. 3

Copy the webhook URL (Recibir reserva)

A new URL is generated on install. Paste it into the external system that must call this workflow.

    4. 4

Publish and test the form "Reserva de cita"

Open it, publish it and submit a test entry to check the workflow starts.

    5. 5

      Open the dashboard "Citas"

Check that the test data shows up.

    6. 6

      Set your schedule

In the Preparar reserva node edit the "AJUSTA AQUÍ TU HORARIO" block: time zone (ZONA), appointment length (DURACION_MIN), offered hours (HORAS), weekdays (DIAS), minimum notice (ANTELACION_H), your video-call link or address (LUGAR) and your business name. The form Hora options must match HORAS.

    7. 7

Connect Google Calendar and pick the calendar

Connect your Google account in the Comprobar disponibilidad, Eventos del día and Crear evento nodes. They use your primary calendar (primary) by default; if you want a dedicated appointments calendar, choose it in all three nodes.

    8. 8

Connect email and the internal alert

Connect your SMTP in the Confirmar al cliente, Avisar al profesional and Proponer otros huecos nodes, and replace profesional@tuempresa.com with your email in Avisar al profesional.

    9. 9

      Test a booking

Open the Reserva de cita form, book a future working day and check that the event shows up in your calendar and the emails arrive. Book the same time again: it should tell you it is taken and suggest other slots.

    10. 10

      Activate the workflow

Workflows are installed inactive. Once everything is set, activate it.

Try it in under 5 minutes
